How to respond to negative reviews (20 examples)

The short answer

Reply within a few days, stay calm, and write for the next customer reading it, not the angry one. Thank them, own what was your fault, state one fact if the review is wrong, and offer to fix it offline. Never argue, never share private details, and never confirm they were a customer.

Should I reply to a negative review at all?

Yes. You are not really writing to the person who left it. You are writing to the next hundred people who read it while deciding whether to call you.

In BrightLocal's 2026 Local Consumer Review Survey, 89% of consumers said they expect a business owner to reply to reviews, and 81% expect that reply within a week. A bad review with no answer looks like you did not notice or did not care.

The same 2026 survey found negative reviews put off 77% of consumers. A calm, specific reply is the cheapest way to soften that. If you want the bigger picture on collecting more good reviews to balance the bad ones, start with how to get more Google reviews.

What are the rules for a good reply?

Every reply below follows the same short list. Keep it open while you write.

  1. Wait an hour. Never reply while angry. Aim to answer within one to three days.
  2. Thank them by name for the feedback. Do not start with "We are sorry you feel that way."
  3. Say the one thing that went wrong, in your own words. If it was your fault, say so plainly.
  4. Give one concrete next step and a way to reach a real person, such as a phone number or an email that goes to you.
  5. Keep it under 100 words. Do not add details a stranger does not need to see.

If you only remember one rule, remember this one: the reply is public. Write it as if the person, their lawyer and your best customer will all read it.

What should I never say in a public reply?

Never confirm the reviewer was a patient, client or customer. If you run a dental office, a medical clinic, a law firm or a therapy practice, even saying "we reviewed your file" or "your last appointment" can break privacy rules and professional duties. Confirming that someone is a patient is itself private information.

Use wording that works whether or not the person was ever your customer: "We take this seriously and would like to look into it. Please call us at ..." Do not mention treatments, matters, dates, amounts or staff names. Do not argue facts from their record.

Rules differ by profession and state or province, and this is general information, not legal advice. If you are a regulated professional, check your licensing body's guidance before you reply to any review that touches care or legal work.

  • Do not confirm they were a patient, client or customer.
  • Do not name treatments, diagnoses, case details, prices or dates.
  • Do not defend your side with facts from their file. Invite them to contact you instead.
  • Do not threaten legal action in a public reply.

What do I write when the complaint is real?

Most bad reviews are true, at least partly. These four are for the ordinary stuff: slow service, a mistake, rude staff, a messy job. Own it, fix it, and keep the repair offline.

Real complaint 1: long wait

Hi [Name], thank you for telling us. You waited far longer than we promised, and that is on us, not you. We have changed how we book the first appointments of the day. Please call me at [phone] so I can make this right. [Your name], owner

Real complaint 2: mistake on the job

[Name], you are right that the work was not finished properly the first time. I am sorry. I would like to send someone back at no cost. Please email [email] with a good day and time and I will arrange it myself. [Your name]

Real complaint 3: rude staff member

Thank you for writing, [Name]. That is not how we want anyone to be treated, and I have spoken with the team about it. I would like to hear more from you directly. You can reach me at [phone]. [Your name], manager

Real complaint 4: late or missed delivery

[Name], we missed the delivery window we gave you, and I understand how frustrating that was. We now confirm every delivery by text the day before. If anything is still outstanding, call [phone] and ask for me. [Your name]

What if the review is about a different business?

It happens more than you would think, especially when two places share a name or a street. Stay polite, say you cannot find a match, and report the review too (see the guide on how to remove a Google review).

Wrong business 1: different location

Hi [Name], thanks for the feedback. We only have one location, at [street], and we think this review may be meant for another business with a similar name. If it was us, please call [phone] so we can look into it.

Wrong business 2: service we do not offer

Hello [Name], we do not offer [service], so we suspect this review was posted on the wrong page. We are sorry you had a poor experience somewhere. If you did visit us, please contact [email] and we will gladly help.

Wrong business 3: competitor with same name

[Name], we want to help, but we cannot match this to anything on our side. There is another [business type] in [nearby town] with a similar name. Please double check, and call us at [phone] if it was us.

How do I reply to a review I think is fake?

Do not accuse anyone. You cannot prove it from the outside, and a public fight looks worse than the review. State that you cannot find a record, invite contact, and report it to Google. Whether it comes down is up to Google, not you.

Fake 1: no record of the person

Thank you for the feedback. We take every review seriously, but we cannot match this one to any visit or order. If you are a customer, please email [email] with your details so we can look into it properly.

Fake 2: competitor or troll suspected

We would like to understand what happened here, but nothing in this review lines up with the work we do. If we got something wrong, please reach out at [phone]. We have also asked Google to review this post.

Fake 3: one-star with no text

Hello, we are sorry to see a low rating and would like to know what went wrong. Please call [phone] or email [email] and tell us what happened so we can put it right.

How do I answer a rude or abusive review?

Insults and swearing may break Google's rules, so flag the review. Your reply stays short and level anyway, because it will be read long after the review is gone or kept.

Rude 1: angry but with a point

[Name], we hear that you were upset, and we are sorry the visit went the way it did. We would like to understand the details. Please call [phone] and ask for [your name].

Rude 2: personal attack on staff

We are sorry your experience was frustrating. We ask that everyone be treated with respect, our team included, and we would still like to sort this out. You can reach me at [phone]. [Your name], owner

Rude 3: all caps rant

[Name], we can tell this was a bad day for you and we would like to help. We could not tell from the review exactly what went wrong. Please email [email] with the details and we will respond within one business day.

What do I say when someone wants a refund or a price dispute?

Do not put the amount, the invoice or the policy in public. Say you want to look at it and move it to email or phone. A public offer of a refund can also invite copycat complaints, so keep the decision private.

Refund 1: asking for money back

[Name], thank you for letting us know. We would like to review what happened and see what we can do. Please email [email] with your order or invoice number and we will answer within one business day.

Refund 2: price felt too high

Hi [Name], thanks for the honest feedback. We want people to feel the price was fair. If you have questions about your bill, please call [phone] and we will go through it with you line by line.

Refund 3: policy dispute

[Name], we are sorry this ended in frustration. Our policies are there to keep things fair, but we would like to hear your side. Please contact [email] so we can look at your case directly.

These are the replies where one wrong sentence causes real trouble. None of the four below confirm the writer was ever a patient or client, and none mention care, a case, a diagnosis, a fee or a date.

Health or legal 1: unhappy with care

Thank you for your feedback. We take every concern seriously. Because of privacy rules we cannot discuss any individual publicly, and we cannot confirm whether someone is a patient. Please contact our office manager at [phone] so we can listen.

Health or legal 2: unhappy with a legal result

We appreciate you sharing this. We are not able to discuss or confirm any client matter in a public forum. If you would like to talk to a partner about your concerns, please call [phone] and we will arrange it.

Health or legal 3: billing complaint at a clinic

Thank you for raising this. We cannot talk about any individual account in public. Our billing team would like to help, and you can reach them at [phone] or [email].

Health or legal 4: review that includes private details

Thanks for the feedback. To protect everyone's privacy, we do not comment on individual cases or confirm who has visited us. We would like to speak with you directly. Please call [phone] at your convenience.

What happens after I reply?

Google tells the reviewer when you answer, and they can edit their review afterward. Some do, especially when the reply is calm and specific. Some do not, and that is fine.

If the review breaks Google's rules, flag it as well. Replying does not stop you from reporting it. If you want a steady supply of recent good reviews so one bad one matters less, look at review request templates and the Google review QR code guide.

Do not ask a reviewer to remove or change their review in exchange for a refund or a discount. Google treats that as a policy violation, and the FTC's 2024 rule bans offering payment tied to a positive or negative review.

How many reviews should I answer?

All of them, if you can. Starting with the one and two star reviews is a fine order, but the five stars deserve a reply too. A steady answer rate is what customers see when they scroll your profile. Writing the good replies is covered in how to respond to positive reviews.

Frequently asked questions

Within one to three days is a good goal. BrightLocal's 2026 survey found most people expect an answer within a week. Wait an hour before writing if you are angry.
No. Offer to fix the problem and let them decide. Asking for removal in exchange for a refund or a discount can break Google's rules.
No. You can only report it to Google, and only if it breaks Google's content policy. A review you simply disagree with stays up.
Say you cannot find a match and invite them to contact you. Do not accuse them of lying, and report the review to Google.
Using their first name is fine. Do not mention what they bought, what care they received, any dates or amounts. If you are a doctor, dentist or lawyer, do not confirm they were ever a patient or client.
